This privacy policy sets out how West Byfleet Community Choir (WBCC) uses and protects any personal information that you give us, by whatever means.

WBCC is committed to ensuring that your privacy is protected. WBCC is committed to protecting your personal data and how will use any personal or sensitive data we collect from you. In Europe, this is in line with the General Data Protection Regulations (GDPR). Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy statement.

WBCC may change this policy from time to time by updating this document. Where the changes are significant, we may also choose to email individuals affected with the new details. Where required by law, we will ask for your consent to continue processing your data after these changes are made.

WBCC holds your data in compliance with applicable law, including GDPR, in order to carry out the legitimate purposes of WBCC.

What data do we collect and what do we use it for?

WBCC collects data from individuals to help us plan, organise and run the day-today operations of the group (e.g. co-ordinating rehearsals or collecting payments) and to promote and market the group’s activities (e.g. photography/video capture).

When you join WBCC as a member, or during your membership with us, we may need to collect some of the following information on you:

• Your contact information including email address and main telephone number.

• Permissions - e.g. Photos / Video footage / Social media

• Other information relevant to previous attendance at our events and any other information you have provided to us which helps us know what future WBCC events you may be interested in. This may include concerts, workshops, singing events, rehearsals as well as non-singing events.

What we do with the information we gather

WBCC uses personal information held to undertake the activities of WBCC as a community choir, for the following reasons:

• Internal record keeping.

• Promotional emails about WBCC, our concerts and any other events in which you may be interested.

• To send you information about participating in WBCC as a singer and about joining our choir.

• To interact with suppliers, including where we are hiring venues for rehearsals or our event.

Security

WBCC is committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online. Electronically-held data will be held within a password-protected and secure environment. Physically-held data (e.g. sign-up sheets and attendance lists) will be stored in a cabinet capable of being locked.

Links to other websites

The WBCC website may contain links to other websites of interest, and to our Facebook page. However, once you have used these links to leave our site, you should note that we do not have any control over that other website or social media site. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website/social media site in question.

Controlling your personal information

WBCC will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting as someone interested in the activities of WBCC.
